For All Private & School Programs between October 2024-August 2026:

The $750 USD deposit is required to process a participant’s application. The $750 deposit payment is fully refundable for 24 hours after submission after which it becomes non-refundable. A participant is defined as a student or adult paying to join the trip. Participant applications will not be processed until we receive your deposit. Private & School Program trips are not eligible for any promotional discounts advertised on www.travelforteens.com. If we do not receive a payment within three business days of your application being submitted, the participant’s position on the trip will be forfeited. Late applications: if a participant for a school or private trip registers within 90 days of departure, there will be a $150 rush application fee. If the application is completed within 30 days of departure, the rush application fee will be $200. If airfare is bundled in the trip tuition and registration is made after the advertised registration deadline, there may also be a flight surcharge.

PAYMENT TERMS For All Private Enrollment Programs received between June 1, 204 and August 14, 2025.

The deposit less any applicable application fee(s) will be applied towards the participant (i.e. parent or student) tuition balance. Promotional discounts do not apply to school trips or private trips.

School Trip/Private Trip Deposits are refundable for 24 hours after payment and non-refundable thereafter. A signed contract is due within 10 days of deposit via DocuSign. Subsequent payments are due in monthly installments billed on the 15th of the month with the final payment due no less than 75 days before departure unless otherwise disclosed on the payment times of the private trip webpage. The average installment cycle is four payments. The equal installments are due via ACH auto-pay or Credit Card auto-pay.  Families may pay off their balance ahead of the installment schedule if they prefer. 

All credit card payments (other than the initial $750 deposit, group flights, or travel insurance) are subject to a 4% convenience fee for Visa, Mastercard, or Discover. We do not accept American Express.

The balance can be paid by check, money order, wire, ACH or credit card.

Disclosure of fees

All families are required to purchase trip insurance. Some School Trips/Private Trips tuition includes trip insurance already. Consult the FAQ section of your trip page to confirm if insurance is bundled or not. You may purchase a policy from TFT or on your own. Participants are roomed in multi-bedded rooms. Chaperones are roomed in twin rooms. Single rooms can be requested by either a participant or a chaperone at the time of registration. Please consult your trip FAQ to determine the cost of a single room.

During the processing of a registration or a participant, adult or student, for their trip, the participant and/or their family may elect to have TFT purchase an independent flight for them as long as the organizing school permits independent flights to join or depart the program. Consult the FAQ section of your trip page to confirm if group airfare is bundled or not. An independent flight is defined as a flight other than the ‘group flight’ as described in the itinerary and promotional materials. The cost of the booking fee is $200. If the independent flight incurs additional transportation/staff costs on the ground, there may be a $100-$350 charge depending on the complexity of the situation. Please consult with our logistics team before purchasing any independent flight for a school or private trip.

Airfare, whether it is bundled or unbundled, for the trip cost is a variable cost that is beyond TFT’s control. We will make predictions on the group flight cost based on available historical data at the time that trip is announced.

For programs where the cost of the group flight is bundled, if the final cost of the group flight exceeds the cost of the quoted amount in the proposal that was accepted by the trip organizer, a per person flight surcharge may apply. We work hard to find the best flights in tandem with the trip organizer (the lead teacher), but if due to circumstances beyond TFT’s control, the actual participant flight price exceeds the previously disclosed estimates, the difference per person will be added to the final cost of tuition.

If the participant requires revisions or changes to their flights after being booked, an hourly fee ($50) will be assessed for any additional flight work. The booking fee covers TFT to book the flight. We do not book seats on the plane or handle unaccompanied minor service setup fees/time. Booking seats on the plane and any resulting cost is the responsibility of the family. Subsequent voluntary changes will likely incur a $50-$200 ticket change fee plus the difference in fare.

Tickets booked through TFT may or may not include 1 free checked bag. All domestic flights, intra-trip flights, inter-trip flights, and flights to/from Latin America do not include a checked bag. Flights to/from everywhere outside of North and South America may include a checked bag depending on the carrier and the fare purchased.

Participants flying independently of the group may be subject to an independent flight charge of between $100-$350 depending on the additional staffing and transportation needs required to accommodate the individual flight path.

Participants who are flying to/from the destinations as unaccompanied minors (UM) may require hiring additional staff at the domestic and international airports to satisfy the requirements of the airlines. Any additional staff required for a teen to be flying as an unaccompanied minor will be the financial responsibility of the family. The typical airline cost for UM services paid directly to the airline is $150 per flight ($300 for roundtrip). Travel For Teens cannot set up the UM service on behalf of a family however we will provide you the details of the TFT representative so that you can set up the UM service prior to the arrival at the airport.

If you/your child needs to spend an extra night under our supervision either before the trip or after the trip, the cost for their hotel and supervision will be billed on a case-by-case basis. This fee is usually between $200-$400 per child per night depending on the location and circumstances.

A $50 late payment fee will apply for payments made after the due date.

All applications are subject to a rush application fee of between $150-$200 depending on when the application is submitted.

WHAT’S NEXT?

Immediately after submitting your registration, you should receive an automatic email acknowledgment from info@travelforteens.com. If you have not received this within one hour of registration, please contact us either by email at info@travelforteens.com or by calling us at 888-457-4534. You will receive a formal registration confirmation from help@travelforteens.com within 1 business day of your registration and deposit as well.

MYTFT – VERY IMPORTANT!

Once your deposit is paid and the application has been processed by our office, you will receive a SECOND email that contains your USERNAME and PASSWORD to MyTFT (our parent portal). Applications are processed between 8am-5pm EDT Monday-Friday. Applications received outside of these hours will be processed the next business day. All forms to be completed by parents and physician as well as packing lists, travel tips, travel insurance information, and other important information can be found on the MyTFT website (hard copies of the essential legal/medical forms can be mailed to participants upon request). Our contract and release must be signed by all custodial parents (or guardians) and the participant. There are substantial penalties for certain rules violations, including being sent home at the parents’/guardians’ expense. Our participants are expected to comply with all Travel For Teens, LLC rules and regulations. Please send the deposit payment as soon as you submit your registration. We do not process registrations until the deposit has been received.

PRIVACY POLICY:

Travel For Teens, LLC is committed to keeping your information safe and will never distribute or share any of your/your child’s personal, medical or financial information to anyone without your express consent. To prevent unauthorized access, maintain data accuracy, and ensure the correct use of information, we have put in place physical, electronic, and managerial procedures to safeguard and secure the information we collect online and through the mail. TUITION

Tuition rates are estimates based on the exchange rates, the cost of fuel, the cost of goods and services as of September 1st of the calendar year preceding registration for the trip. This number is calculated year to year based on the costs to run programs. In the unlikely event that between 10-30 days prior to the departure date of the program the consumer price index rises by more than three percent (3%) or the exchange rate rises by more than 3%, TFT reserves the right to assess supplementary tuition adjustment fees at its sole discretion and you agree to an adjustment to the Tuition. (“Tuition Adjustment”).  You acknowledge and accept that the Tuition and any Tuition Adjustment must be paid before travel commences.  NOTE: In its history, TFT has yet to require payment of Tuition Adjustment for a private trip.

REFUND POLICY – TUITION

The $750 payment due at the time of the application is applied toward the participant’s tuition balance. All payments for private trip programs are non-refundable unless otherwise noted on the private trip program website FAQs. Should the participant cancel less than 100 days before departure for any reason whatsoever, all tuition is due regardless of whether the participant attends or not. A credit card must be on file and available for any nonpayment prior to 100 days before departure. Acceptable means of cancellation include written notice by email. Verbal cancellations are not accepted. Any participant who withdraws from the program for any reason, including involuntary dismissal, will forfeit all tuition and airfare.

Participants who cancel their registration may recoup their investment using premium cancel for any reason trip insurance.

Participants who are dismissed from a program as a result of a violation of one of our five rules or our code of conduct will be sent home at their expense. Any participant sent home will forfeit tuition and incur additional costs related to airport transfers, new flights, and office time handling all of the additional travel logistics and time. A flat fee of $500 will be assessed for dismissal for office time.Should additional time or effort be required to dismiss a participant, office time is billed at $100 an hour.

Adult Participants or chaperones who are dismissed from a program as a result of a violation of one of our adult participants our code of conduct will be required to cover all of the costs related to their departure from the program. A flat fee of $500 will be assessed for dismissal for office time. Adult participants who are dismissed from a private program will forfeit tuition and incur additional costs related to airport transfers, new flights, and office time handling all of the additional travel logistics and time. Should additional time or effort be required to dismiss a participant, office time is billed at $100 an hour.

APPLICATION FEE

All registrations received outside of 90 days from departure have no registration fee for private trips. Late applications, i.e. within 90 days of departure, will be charged a $150 rush application fee.  If the application is completed within 30 days of departure, the rush application fee will be $200.

DISCOUNTS DISCLAIMER

In the event that a trip price or discount is listed incorrectly or with incorrect information due to typographical error or error in pricing or discount information, or the policy changes, Travel For Teens, LLC reserves the right to apply the proper discount in its sole discretion. No early registration discounts or alumni discounts apply for school trips and/or private trips.

ADDITIONAL COSTS

Travel For Teens, LLC will obtain any medical or dental treatment that we, in our sole discretion, feel is necessary or advisable for the health of a participant and the health of the group. Parents/guardians agree to pay all costs and expenses incurred directly or indirectly in this regard. We attempt to reach a parent/guardian in the event that care is sought or deemed advisable and will attempt to make contact again regarding any medications recommended or prescribed.

LATE FEES

There is an irrevocable $50 late fee for any payment made after the due date. There is a $50 late fee for not completing and returning all required participant paperwork.

CREDIT CARDS/CANCELATION FEES:

Travel For Teens, LLC reserves the right to charge additional fees for returned payments, canceled cards, chargebacks, credit card changes, invalid credit cards, failure to provide Travel For Teens, LLC with a credit card that is valid for the entire duration of the trip(s), and cancellations as a result of your failure to comply with any requests by Travel For Teens, LLC. The fee assessed shall be $250 per person plus 5% of the total transaction.

VACCINATIONS, VISAS & PASSPORTS

Participants are required to maintain a passport for all international travel with at least six months of validity from the last day of the trip. If any participant or chaperone tries to travel with a passport that expires under six months, the airlines may deny travel and the passport officials may deny entry. We cannot stress this enough. We do not double-check passport validity. This is the responsibility of the parent/guardians/participants.

If the participant is an American citizen and any trip destination requires a visa, TFT may at our sole discretion obtain the visa on behalf of the participant but in the alternative will help guide each participant through the steps necessary to obtain it. Knowing what is required for each destination, obtaining the proper applications, submitting all necessary paperwork and all costs incurred are the responsibility of the parent/guardian and not TFT regardless of circumstances.

If the participant is NOT an American citizen, whether or not residing in the USA, it is the sole responsibility of the parent/guardian to determine if a visa is needed to enter/exit the trip destinations, to make sure the visa(s) get processed, as well as to incur all costs that accompany that process. All necessary documentation must accompany the participant and it is solely up to the parent/guardian to determine what documentation is necessary, send it with the participant and provide TFT with a copy. TFT will assume no role whatsoever in this process nor its successful or accurate completion. We will also not assume any liability whatsoever, financial or otherwise for non-admittance to any destination country.

Visa, Vaccine, Covid requirements, if any, for entry, transit and visitation vary by country and by citizenship. You acknowledge that it is Your responsibility to consult with the appropriate embassy or consulate of for any country where your child may travel and to take the necessary steps required by the government for entry including, but not limited to, obtaining any Visa, Vaccination, or Covid documentation, providing any supporting travel documentation, and or paying any tourist taxes (“Country Travel Requirements”). TFT will provide resources and guidance for how to apply for Country Travel Requirements, but you understand that You are ultimately responsible for any fees resulting from any Country Travel Requirements. Notwithstanding the foregoing, under no circumstances is TFT obligated to provide information on Country Travel Requirements or responsible for obtaining Your  Visa or Health/Vaccine proof or requirements. Furthermore, You agree to pay any supplementary costs or fees that may be incurred should You NOT comply with Country Travel Requirements, OR Should they change, including Expenses (as defined below) resulting from supplemental staff and/or chaperone time, at TFT’s sole discretion notwithstanding the foregoing. Under no circumstances is TFT obligated to provide said staff or chaperone.

Note: Participants traveling within the US are strongly encouraged to be vaccinated. While TFT does not require vaccination against Covid-19, many of our destinations do. It is possible that vaccine requirements could change between the time of enrollment and departure. TFT cannot accommodate participants unless in compliance with destination requirements for vaccines.

Should destination requirements change participants should be prepared to either choose an alternative program or meet vaccination requirements to fully participate in the itinerary.

MEDICATION DISCLOSURE:

Some destinations, such as Japan, have specific rules and restrictions for medications. Certain prescription medications that are readily available elsewhere, may contain substances that are considered illegal or controlled in Japan. This includes medications containing certain stimulants. Parents and Travelers to Japan should familiarize themselves with these rules and restrictions here https://www.mhlw.go.jp/english/policy/health-medical/pharmaceuticals/01.html as part of the registration process. Before traveling to Japan, it’s essential to research the legality of any medications you or your child may need to bring into the country. If a medication is prohibited or restricted, consider alternative treatments or consult a healthcare professional to find suitable alternatives.

FLIGHTS AND TRANSPORTATION

We offer a group flight for every trip with some exceptions. Parents should verify the availability prior to booking whether or not this flight path will be chaperoned. Some flight paths are direct, non-stop flight paths and may or may not have a flight chaperone on board. In the event that a designated group flight does not have a flight chaperone on board, TFT will have staff at both the departure and arrival airport to make sure the teens on board the flight have support and supervision during their time at the airports. Participants are required to take our group flight for a few of our trips but for most trips, they have the option to fly independently (an independent flight fee applies ) or to be dropped off at the beginning of the trip. Group flights are designated as a group flight but TFT does not reserve seats. It is possible that all seats on some group flight paths can be sold out. We usually can accommodate even late signups on group flights, but the fare may be more and must be quoted at the time of sign-up. Our office can assist you with flights to and from the departure/arrival airport for group flights but these flights are, of course, your responsibility and at your expense. We assume no liability for these flights so it is crucial that parents check flight details carefully.

We assume no responsibility for any delay, cancellation, or strike of flights, public transportation such as buses, trains, ferries, metros and the like) and reserve the right to organize alternate transport as necessary. Any additional costs incurred as a result of these delays or cancellations are your responsibility and expense.

If you would like Travel For Teens to book your/your child’s flights to and from the departure/arrival airport to link up with the group flights on an independent flight, a flat $100 booking fee applies.

Flights between trips: For students taking combination trips we arrange flights between trips but the cost is additional. These can usually be chaperoned. Additional fees may apply but usually, do not.

Flights within trips:

All intra-trip flights are chaperoned by the TFT counselors and are an additional expense.

Independent Flights:

If your child does not choose to take the group flight, we can help with flights to and from your departure city provided the organizing school / group permits deviations. The responsibility for these flights rests with the participant. There is a $100-$350 independent flight fee each way for participants not flying on the group flight. The cost of this flight is determined based on the arrival/departure times of the independent flight. If a participant arrives on or departs on an independent flight at the same airport at almost the same time as the group, the fee will be waived. Almost the same time is defined as landing within one hour before the group and departing within 30 min before the group flight departs.

Independent flights arriving more than one hour prior to the group may require additional transportation costs for the counselor to meet the student.

Independent flights departing more than 30 min prior to the group will require an independent transfer to the airport. Independent flights departing after the group require staff to stay longer in the departure city and therefore often cause them to have to spend an extra night at the end of the trip.

Frequent Flier Miles:

Parents who wish to use frequent flier miles for their child’s group flight are more than welcome to do so. The earlier you book your trip and flights the more likely it is that this will be a viable option. We can provide flight paths and flight numbers but we cannot participate in the booking of the flight using your miles.

Missed flights:

In the event that a child misses the chaperoned group flight, TFT will work with you to help re-route the teen to reach their trip. This will often incur extra fees. We strongly encourage participants to purchase Trip Insurance for this reason. For a nominal fee participants may arrive the day before departure and/or stay over an extra night at the arrival city with TFT staff to ensure flight compatibility.

Refund Policy – Airfare:

If the participant has purchased a ticket with the help of Travel For Teens and then cancels, as part of the booking fee, we will go back to a ticket agent to find out what if any of the ticket can be refunded or used for future travel. All airline tickets are governed by different rules related to the cost of the ticket. In some cases, the ticket may be non-changeable and non-transferable so it would be a complete loss while other tickets can be changed for a fee to be used in the future. For all of these reasons, we cannot strongly recommend enough that families purchase trip insurance to cover the value of the trip and the plane tickets.

All tickets purchased by TFT are priced live at the time of purchase, therefore the participant is subject to all rules and penalties of the airline for cancellation. If the airline is able to issue a refund, the refund timeline is 60-90 days.

 

PHOTOS

Travel For Teens, LLC reserves the right to use any photos, videos, or testimonials from its trips in any manner it desires.

LOST, STOLEN OR DAMAGED PROPERTY AND LOST LUGGAGE

Travel For Teens, LLC and its staff are not responsible for the loss and/or recovery of any lost, stolen, or damaged belongings. In the event of lost luggage we will help as much as we can, but the responsibility for recovering lost luggage, ensuring that the participant has enough clothes and supplies to continue and the lost luggage returned while on the trip is up to the parents/guardians.

DISCLOSURE:

Parents/guardians are expected to ensure that full disclosure is made regarding any physical or mental condition that has any potential to affect the participant’s ability to participate on the trips. Withholding information is considered a breach of contract. This obligation continues on an ongoing basis even after all forms are turned in.

CODE OF CONDUCT

Travel For Teens, LLC and its staff are responsible for the safety and well-being of the group at all times during the trip. All participants agree to abide by the following student participant code of conduct and adult participant code of conduct respectively. Failure to follow the rules and the code of conduct may result in a participant being dismissed from the program. Participants who are dismissed from the program are not entitled to any refunds and will be responsible for all costs including but not limited to additional staff supervision, transportation, office time, and new flights, as a result of their dismissal.

CANCELLATION, RETURN, AND INSURANCE

Travel For Teens requires all participants purchase a Trip Protection Plan for protection against trip cancellation, modification, unforeseen circumstances, delayed flights, additional costs incurred due to events that may happen as part of travel, medical or family emergencies, lost baggage situations, full medical coverage abroad, and more. Please contact us if you would like information about purchasing a Trip Protection Plan.

We are not responsible for costs incurred by families in preparing for a program that is altered or canceled. We are not responsible for airfare purchased for a trip that is altered or canceled. These are items that should be covered by the insurance policy purchased. It is the sole responsibility of the purchaser to determine the extent to which the chosen policy covers any event, regardless of whether or not a policy recommended by TFT is sufficient.

We reserve the right to dismiss any participant for disruptive, unbecoming, immoral, or disobedient behavior at our sole discretion, without refund, at the parents/guardians expense. Dismissed participants must be provided either a guardian for pickup or onward travel plans/plane tickets within 12-24 hours of dismissal. Participants understand and agree that if they are present when others commit these sorts of offenses they are culpable as well and expected to notify a trip leader. Participants who are dismissed from a program as a result of a violation of one of our five rules or violations of the code of conduct will be sent home at their expense. Any paying participant dismissed from a program will forfeit tuition and incur additional costs related to airport transfers, new flights, and office time handling all of the additional travel logistics and time. The office time is billed at $100 an hour.

Travel For Teens, LLC reserves the right to cancel or change the program itinerary, location, dates, or duration for any reason at any time. We are not responsible for costs incurred by families in preparing for a program that is altered or canceled. We are not responsible for airfare purchased for a trip that is altered or canceled.

APPLICABLE LAW AND VENUE

I have accurately and fully completed this online registration form, and agree to the terms and conditions outlined above. I will promptly review and complete all materials when forwarded to me. I give permission for my child to participate in Travel For Teens, LLC program activities whether conducted by Travel For Teens, LLC or a subcontractor, and fully release Travel For Teens, LLC, and its contractors from any and all liability associated with program participation. In the unlikely event of a dispute, I agree that this registration and all other aspects of my and my child’s relationship with Travel For Teens, LLC will be governed by Pennsylvania state law, specifically the rules of Delaware County, Pennsylvania. In the event I should not prevail in a dispute I agree to pay all court and attorney costs and fees. The venue for dispute resolution will be Delaware County, Pennsylvania.
